Stationery looks like the easiest category to import, which is exactly why margins die here. The unit prices are small, the printing is fiddly, and a 5-cent error per pen becomes a four-figure loss on a container. The recurring failures: logo printing that fades after a week of use, notebooks bound with brittle glue that cracks in winter freight, and 70g paper supplied where the contract said 80g. Nobody notices any of this at the factory gate. It surfaces in your customer reviews.
The second structural issue is the calendar. Back-to-school is the whole game in this category, and it runs in reverse for importers: US retail buyers place orders in February and March, production finishes by June, and goods need to be on the water by early July to make August shelves. Start quoting in January or you will be buying whatever capacity is left at peak-season prices.

Control printing quality with a signed proof
Logo work is where shortcuts hide. Insist on a printed proof (not a screen render) signed by both sides before mass production, specify the Pantone number and tolerance, and name the process: silk-screen for single colors, heat transfer for multi-color or gradient art. During inspection, rub the print with ethanol; silk-screen that passes a 10-second rub will survive a school bag.
Test ink and refills like the end user
Writing distance is measurable: a decent ballpoint refill writes 400-600 meters. Ask for the writing-distance figure per refill grade and spot-check with a writing machine if the order justifies it. Also remember air freight: sealed refills can leak at cabin pressure, so vented packaging or sea freight is the safer default for gel pens.
Where the negotiation room is
Peak season is February to May, so off-peak orders (June onward, for the following year) pull 5-10% better pricing and faster lead times. Consolidating pen SKUs into one body color with different ink colors saves mold-change charges. And simplify packaging: a printed opp bag beats a custom blister card on cost by $0.05-0.15 per unit, which is real money at stationery volumes.
Quality risks specific to this category
Paper weight substitution is number one: verify gsm with a paper scale during inspection, carton by carton, because 70g stock looks identical to 80g until you weigh it. Binding glue cracks in cold freight; order a winter shipping sample if goods transit through cold routes. Pen leakage and spring failure both respond to AQL sampling at 2.5 major defects. For student products, EN71-3 heavy metal limits apply in the EU and CPSIA rules for children under 12 apply in the US, so colorful coated items need the same report logic as toys. Which certificates apply to student stationery for the EU?
EN71-3 for heavy metals on items intended for children, plus REACH for inks and coatings. Art markers may also need a safety cap (ventilated, minimum airflow) under ISO 11540 if they are a choking shape.
How is notebook paper quality actually checked?
Three checks: weigh a cut square on a paper scale for gsm, hold pages over printed text to check opacity, and run a corner-fold test on the cover laminate. Ten minutes per carton catches nearly everything.
